Registration

Registration Cancellation/Refund Policy

You may cancel your existing conference registration and social events registrations or request a refund before the meeting in accordance with the ACS Registration Cancellation Policy. All refunds are issued via the same method used for payment. Refunds are processed no later than 30 days after the conclusion of the meeting.
 
By adhering to the following cancellation procedures, registration cancellations received in writing by July 23, 2026, are entitled to a full refund, less a $175 administrative fee. Registration fees less than $175 will not be refunded.
 
  • Presenters who are denied visas to enter the U.S. or who have processing delays that prevent their visas from being issued in a timely manner may receive a full refund with no administrative fee. Proof of the denial will be required.
  • Cancellation notices must be submitted in writing to the ACS registration customer service center by mail, or e-mail by 11:59 PM (ET) on July 23, 2026.
  • Registration refund requests received after 11:59 PM (ET) on July 23, 2026, will not be honored.
  • If you are a presenter, cancelling your registration will not automatically cancel your presentation. To request that your abstract be withdrawn from the meeting, please email your request to maps@acs.org. Please include your control ID and abstract title.

Paid Registrant Procedures

All Meeting attendees will need to individually pick up their registration credentials and tickets on-site at the badge pick up areas during on-site registration hours. Digital Meeting attendees will access the Digital Meeting platform using the ACS ID credential that matches their registration. Only one device per registration is authorized to access the Digital Meeting content. Meeting attendees will be asked to show a valid photo ID to verify their registration to be issued their registration badge.

Meeting Access

  • Full Access (in-person and Digital Meeting Access) includes access to industry, student, and academic focused sessions, and networking opportunities such as the ACS Connect Reception; the Open Board Session and Priestly Medalist Address; and the Kavli Lecture series. Full Access grants access to all technical sessions, presidential events, poster presentations, full access to the mobile app and the Digital Meeting including virtual Q&A sessions, as well as access to the Expo and the ACS Career Fair.
    • Includes option to register and purchase additional ACS Connect Reception access tickets (max of 2), extra drink tickets for ACS Connect Reception and SciMix (max of 2 each for those that are 21 years or over), $50 Food Vouchers at the convention center, Atom Cafe Upgrade, Leadership Development Courses, Career Pathways Workshops, ACS Institute Technical Courses, and all Special Events. 
    • Note: Full Access registration is required for all in-person oral and poster-presenting authors.
  • Digital Meeting Access includes a selection of curated live/real time online sessions including full access to the Digital Meeting global content, the Global Virtual Symposia, Virtual Graduate Student Symposia Asia Pacific, division technical sessions, virtual technical sessions, professional development sessions, live streams of the Open Board Session and Priestly Medalist Address, Kavli lecture series, and interactive chats with virtual Q&A sessions. The Digital Meeting does not include live streaming of other sessions from the in-person program. In-person Courses, Workshops, and Special Events are not available in the Digital Meeting Access package. Only one device per registration is authorized to access the Digital Meeting content. 
    • Note: Digital Meeting registration is required for all virtual oral presenting authors.

Limited Access (In-Person) Registration Categories

  • Governance Only Access includes access to Governance Events, the Open Board Session and Priestly Medalist Address, the ACS Connect Reception, the Kavli Foundation Lectures and the Sci-Mix Poster Session only – No access to sessions, Poster Hall, or Expo.
  • Governance Access Plus Expo includes access to Governance Events, the Open Board Session and Priestly Medalist Address, the ACS Connect Reception, the Kavli Foundation Lectures, the Sci-Mix Poster Session and the Expo only – No access to sessions or Poster Hall.
  • Ticketed Events Only includes access to Leadership Development Courses, Career Pathways Workshops, ACS Institute Technical Courses, and all Special Events, purchased individually. – No access to the ACS Connect Reception, sessions, Poster Hall, or Expo. Registrants with a Ticketed Events Only badge will not have access to the mobile app or access to the Digital Meeting. Ticketed Events Only registrants will not receive a badge.
  • Exhibitor Access includes Exhibitor Full Conference or Exhibitor Booth Staff Only badges. Exhibitor access is for exhibitor staff requiring access to the Expo Hall for setup outside of general admission hours.
    • Exhibitor Booth Staff Only badges permit access to the Expo Hall only – no sessions, Poster Hall, or ACS Connect Reception.  
    • Exhibitor Full Conference badges have access to the full conference, the sessions, Poster Hall and ACS Connect Reception.
  • Guest Access – Registered guests can attend sessions, Poster Hall, Expo and ACS Connect Reception when accompanied by a Full Access attendee. Guests will not have access to the mobile app or access to the Digital Meeting.
  • Expo Only Full Access includes entrance into the Expo during expo hours only on all 3 days. – No access to the ACS Connect Reception, sessions, or Poster Hall. Registrants with an Expo Only Full Access badge will not have access to the mobile app or access to the Digital Meeting.
  • Expo Only One Day includes entrance into the Expo during expo hours only on one day. – No access to the ACS Connect Reception, sessions, or Poster Hall. Registrants with an Expo Only One Day badge will not have access to the mobile app or access to the Digital Meeting.

Badge Sharing and Reprint Policy

Badge sharing, splitting, or reprints made outside of the official ACS registration system are strictly prohibited. Any attendee found in violation of this policy will be removed from the Meeting, and all badges will be revoked. The following fees will be charged for badge reprints: $25 for a second reprint, $50 for a third reprint, and $100 for any additional reprints. Please verify your badge preview prior to arriving onsite to expedite the process and to avoid reprint fees.

Attendee List Scam

The American Chemical Society does not sell email lists of members or meeting registrants. Distribution or other use of the list without ACS’ express authorization is strictly prohibited. Third party “pirate” companies reach out to delegates and exhibitors offering to sell these lists often with the primary objective of obtaining credit card information. ACS is aware that these solicitations occur but has no affiliation with these companies. Please email the Meetings Team with any questions or concerns.

Registration Terms & Conditions

Submitting your registration form and payment and clicking the acknowledgment button constitutes an agreement on your part to accept and understand the following disclaimer and waiver details, policies, and general terms and conditions of ACS Fall 2026, hereinafter referred to as the “Meeting”.

 

1. Disclaimer and Waiver

a. As a condition of your participation in this Meeting, you hereby waive any claim you may have against the American Chemical Society (“ACS”), its officers, directors, employees, or agents and ACS's affiliates, and ACS’s contractors and subcontractors, and each of their respective parent companies, subsidiaries, officers, directors, employees, contractors, subcontractors, and agents (including, without limitation, any agent acting on its behalf) (the "Released Parties"), or against the presenters or speakers, for reliance on any information presented, and release ACS from and against any and all liability for damage or injury that may arise from your participation or attendance at the Meeting. You further understand and agree that all property rights in the material presented, including common-law copyright, are expressly reserved to the presenter, speaker, or to ACS. This Waiver and Release is specifically binding upon your heirs and assigns and is knowingly given.

b. You agree and acknowledge that you are undertaking participation in the Meeting activities as your own free and intentional act and you are fully aware of the risks involved in attending public gatherings, including possible exposure (through exposure to contaminated objects, as well as through personal contact) to contagious diseases or illness (including, but not limited to, COVID-19), or physical injury might occur to you because of your participation in these events. You give this acknowledgment freely and knowingly that you are, as a result, able to participate in the Meeting, and you do hereby assume responsibility for your own well-being and warrant that you are abiding by state/local laws regarding health and safety. These terms and conditions extend and apply to all unknown, unforeseen, unanticipated, and unsuspected injuries, disease or illness, damages, loss, and liability, and the consequences of them, as well as those disclosed or known to exist. You expressly waive all provisions of any state, federal, local, or territorial law or statute providing that releases will not extend to claims, demands, injuries, or damages that are unknown or unsuspected to exist at the time to the person executing the release. This Waiver and Release is specifically binding upon your heirs and assigns and is knowingly given.

c. You agree and acknowledge if an emergency or other incident occurs in which, in the sole judgment of the Released Parties or medical personnel, requires medical treatment or care, you hereby consent to such treatment. You understand and agree that any and all medical treatment rendered to you by, or at the request of, any Released Party is not an admission of obligation to provide, or continue to provide, any such medical treatment and also is not a waiver by any Released Party of any right under these terms and conditions. This Waiver and Release is specifically binding upon your heirs and assigns and is knowingly given.

 

2. ACS Volunteer and Participant Code of Conduct
To make the Meeting experience enjoyable for all attendees you agree to comply with the ACS Volunteer and Participant Code of Conduct which is incorporated into these Terms and Conditions. You further agree to comply with all applicable laws, and all rules and policies of the Meeting venues. You are solely responsible for your conduct and any consequences thereof. ACS may remove any attendee who violates applicable laws, venue rules, or ACS policies immediately and without refund, and you waive any claim against the Released Parties arising from such removal.

3. Use of Likeness
ACS intends to take photographs, videos and audio recordings, live streams, and conduct interviews at Meeting activities for use in ACS news and promotional materials, in print, electronic, and other media, including the ACS website. By participating in this Meeting, you grant ACS the right to use your image, photographs, voice, and/or likeness of you, without limitation, in its promotional materials and publicity efforts without compensation. All content and/or media captured becomes the property of ACS and may be displayed, distributed, or used by ACS for any purpose. You waive all rights you may have to any claims for payment or royalties in connection with any use, exhibition, streaming, webcasting, televising, or other publication of these materials, regardless of the purpose of sponsoring, exhibiting, broadcasting, webcasting, or other publication irrespective of whether a fee of admission or sponsorship is charged.

 

4. Photography, Live Streaming, and Videotaping

a. No Photography: Attendees are prohibited from taking photographs during any sessions, workshops, events, or other activities at the Meeting without prior written permission from the presenter(s) and ACS.

b. No Live Streaming or Videotaping: Attendees are not allowed to live stream or record video footage of any sessions, workshops, or events at the Meeting without prior written permission from the presenter(s) and ACS.

c. Enforcement: Event staff will monitor compliance with this policy. Attendees found violating this policy may be asked to delete the unauthorized content and could face removal from the Meeting without a refund.

d. Exceptions: Official Meeting photographers and videographers, as well as ACS media personnel with proper credentials, are exempt from this policy.

5. Sharing of Information

a. By registering for ACS Fall 2026, you understand that you are providing consent to:

  • Receive updates about ACS Fall 2026
  • Be included on the official ACS Fall 2026 attendee list, which may be posted publicly and shared with official ACS sponsors and exhibitors for marketing purposes.

b. You may opt out of communications from exhibitors or other ACS offerings at any time. However, you will continue to receive essential information related to ACS Fall 2026.  To modify your consent for exhibitor or other communications, you can email privacy@acs.org

6. ACS Privacy Policy

a. Your data privacy and security are important to us. When you register for the Meeting, you acknowledge and agree that ACS will collect, process, and manage your personal information in the United States as necessary to complete your registration and for you to attend the Meeting in accordance with ACS’s legitimate interests for hosting an industry event as described in these terms and conditions, the ACS privacy policy, and the selections you or your authorized representative made during the registration process. We take reasonable measures to safeguard your information but are not responsible for how third parties use the data once shared through badge scanning. Please review the ACS privacy policy as it contains important information about your privacy rights and is incorporated into these terms and conditions. Inquiries related to compliance with our privacy policy may be directed to privacy@acs.org.

b. ACS may disclose your personal information to third party service providers engaged by ACS to assist with the Meeting (e.g., housing bureau, mobile application provider, platform provider, registration and payment processing services, general service contractor). The information that you provide when registering for or participating in a Meeting managed or co-sponsored by parties other than or in addition to ACS may be shared with those parties, and the treatment of such information is further subject to the privacy policies of those parties.

7. Single Sign-On (SSO)

ACS uses a singular database as our system of record to interact with other systems, such as event registration systems, through Single Sign-On ("SSO"). In addition to the benefits for the end-user to have a single authentication process for our ACS platforms, it provides a layer of security in the ability to protect data in our primary system. As data privacy and security become even more paramount, this allows us to monitor and maintain how any individual's data is stored, used, and updated from a singular view. Additionally, it protects our data accuracy by eliminating duplication of records and incomplete or erroneous data. 8. Meeting Badges

When attending in-person events, ACS will issue you a Meeting badge. Each attendee’s badge includes a unique QR code containing personal information provided during registration. This may include, but is not limited to:

  • First and Last Name
  • Job Title
  • Company/Institution/Organization Name
  • Email Address
  • Registration Type
  • LinkedIn Account
  •  Component Group Affiliations at ACS 

 

9. Badge Scanning by Exhibitors, Sponsors, and Third Parties

a. By allowing your badge to be scanned by an exhibitor, sponsor, or other third party at the Meeting, you are providing them with access to your contact information. As such, you are providing the consent for third parties to contact you and are opting in to receive communications from that exhibitor or sponsor. In doing so you may be contacted in the future by them for follow-up, marketing, or business-related purposes pertaining to their products or services. You understand that you are subject to their respective communications and privacy policies and must opt-out of such contact by contacting them directly. Badges must be scanned before any details are shared.

b. If you do not wish to share your information, you may decline to have your badge scanned.

10. Badge Security and Responsibility

a. Your badge is your official form of identification during Meetings and is required for access to Meeting activities. You are responsible for securing your badge at all times.

b. To protect your personal information, ACS strongly advises attendees to be mindful of wearing their conference badge in public or non-Meeting venues (e.g., restaurants, hotels, transportation). The QR code and personal details may be accessible to others and could potentially be misused outside of the controlled Meeting environment. Please remove or conceal your badge when outside official Meeting areas.

12. Badge Access

Attendees may not be admitted into the various sessions/events without a badge, and badges must be worn at all times while at the Meeting. ACS will provide lanyards noting limited access badges. Symbols will also be used to designate first timers, buyers, or other categories or access to specific events.

13. Lanyards

To maintain safety and security, we have implemented a color-coordinated badge and lanyard system for ACS Spring and Fall Meetings. ACS will provide color-coded lanyards specific to ACS Fall 2026 based on your registration category.

Provided lanyards may not be substituted with non-official ACS Meeting lanyards. Failure to comply will result in denial of access to ACS programs and events.

14. Payment/Cancellation

a. Payment

Full payment is due at the time of registration. The registration data is subject to audit. In case of error or incorrect self-selection of member types/pricing, Registration reserves the right to correct the error and charge the appropriate fees. If there is a discrepancy, your registration and membership records will be updated accordingly. Should you owe any additional registration fees due to the audit, you will be notified via email, and within two (2) business days, the credit card that is on file will be charged the difference. Please note that your registration will not be complete until your payment is received, and you will not be able to receive your badge credentials and convention materials.

b. Presenter Registration, Payment and Withdrawals

  • All presenters, whether invited, oral, digital, or poster, must register and pay in order to present at ACS Meetings. No one will be permitted to present without registering.  If you are a presenter, cancelling your registration will not automatically cancel your presentation or vice versa. To request that your abstract be withdrawn from the meeting, please email your request to maps@acs.org. Please include your control ID and abstract title.
  • If the presenting author does not register for the meeting by June 15, 2026 and make their presentation based on this abstract, the abstract will be considered withdrawn and removed from the meeting program, technical programming archive and CAS database.
  • If the presenting author will be unable to make their presentation at the assigned time and location, it is the author’s responsibility to submit a withdrawal prior to the start of the meeting.

c. Unpaid Registrations

ACS reserves the right to cancel unpaid registrations (and any affiliated hotel reservations) within thirty (30) days of registration or no later than twenty (20) days prior to the Meeting, depending on the date of registration.

d. Pending Registrations/Approvals

  • Registrations from Cameroon and Nigeria will be placed in a pending status while awaiting full payment. Payment for these registrations must be made by bank check. Registration will not be confirmed until full payment has been received.

  • The Badge number must be included on the check. Once payment is received, confirmation of registration will be sent by email. For further assistance, contact the registration team at acs@maritz.com.

e. Paid Registrant Procedures

f. Registration Refund Program

  • We understand that unexpected circumstances can arise. To provide peace of mind, we are partnering with Rainprotection Insurance to offer an optional Registration Refund Program, similar to travel insurance. 
  • You can protect yourself by opting in for coverage, which provides a 100% refund of your registration fees if you are unable to attend your event for a covered reason specified in these Terms and Conditions[KC1] [ST2] .  Note that all situations are not refundable so please review the insurance terms and conditions carefully.
  • Participation in the Registration Refund Program is voluntary and must be selected during the registration process.  If you opt in, the fee is 7% of your total registration fee and it will be added to your total. Please note that this program's refunds are administered by a third-party provider and are subject to the terms and conditions linked above.
  • After opting in for coverage during your registration, you will receive a confirmation email. If you are unable to attend our event, this email will include a link to the refund website.  If you purchased Registration Refund Insurance, please submit your claim through the Rainprotection insurance website at https://eosclaims.com/Refunds/conference/ACS Rainprotection Insurance can also be reached at (800) 528-7975 and sales@rainprotection.net should you have additional questions or need more information.

h. Workshop Attendance/Refunds

Conference attendees seeking refunds for attending predetermined workshops and sessions offering refunds for attendance must have been scanned into the workshop or session no later than five (5) minutes after the start time to be eligible for the refund. Late arrival or not attending does not qualify for a refund.

 

i. Carbon Offset Program
Participation in the carbon offset program is voluntary. By electing to contribute to the carbon offset program, you agree to these terms.

A. This voluntary program allows you to contribute toward offsetting the estimated carbon footprint of your event attendance, including travel, lodging, meals, and event activities. The offset amount is based on aggregated data from prior ACS events and represents a general approximation; it does not reflect your actual individual carbon footprint. ACS pools all attendee contributions to purchase carbon offsets for the event as a whole. Offsets are sourced from third-party projects selected by ACS’s offset provider and are retired on carbon offset registries in connection with the event. Your participation is entirely optional.

B. ACS acts solely as a facilitator of this voluntary carbon offset program. ACS uses contributions collected from participating attendees to purchase carbon offsets from ACS’s designated third-party offset provider. ACS is not the issuer, seller, or guarantor of any carbon credits, and nothing in these terms creates an agency, fiduciary, or trust relationship between you and ACS with respect to your contribution.

C. ACS reserves the right, in its sole discretion and without notice to you, to: (a) substitute an alternative offset provider or project of comparable or better environmental quality; (b) issue a full refund if offsets cannot be procured for any reason; or (c) apply your contribution toward a comparable sustainability initiative if carbon offsets become unavailable.

D. ACS makes no representations or warranties regarding the carbon offsets, their quality, permanence, or environmental impact.

E. You understand that carbon offsets are subject to inherent risks including potential reversal, invalidation, or decertification by registries or regulatory authorities. ACS is not responsible for these risks or any resulting loss of environmental benefit.

F. All contributions are final and non-refundable, except that ACS may, in its sole discretion, issue refunds if offsets cannot be procured or if required by law.

G. ACS is not obligated to provide individual retirement certificates to attendees.

H. If carbon offsets are successfully procured and retired for the event, ACS may share or post on its website an organizational retirement certificate, summary report for the event, or similar documentation. ACS will not provide individual retirement certificates to attendees.

I. ACS’s total liability to you for any claims related to the offset program is limited to the amount of your contribution. ACS will not be liable for any indirect, consequential, special, or punitive damages under any circumstances.

J. All disputes arising from or relating to the carbon offset program must be resolved exclusively in the state or federal courts located in the District of Columbia. You consent to the personal jurisdiction of these courts and waive any objection to venue in the District of Columbia.

K. YOU WAIVE YOUR RIGHT TO PARTICIPATE IN ANY CLASS ACTION, CLASS ARBITRATION, OR REPRESENTATIVE ACTION REGARDING THE CARBON OFFSET PROGRAM. ALL CLAIMS MUST BE BROUGHT INDIVIDUALLY. THIS CLASS ACTION WAIVER IS AN ESSENTIAL PART OF THIS AGREEMENT.

L. Both you and ACS waive the right to a jury trial in any dispute relating to the carbon offset program. All disputes will be resolved by a judge only.

M. You must bring any claim related to the carbon offset program within one (1) year of the event date. After one year, all such claims are permanently waived and barred, regardless of when you discover the basis for the claim.

N. You are not a third-party beneficiary of any agreement between ACS and its offset provider. You have no direct rights against the offset provider arising from ACS’s agreements with third parties.

O. ACS does not share your personal information with the offset provider. ACS shares only aggregated, de-identified program data (such as the number of participating attendees) with the offset provider for purposes of calculating and procuring carbon offsets for the event.

P. You understand that carbon offset programs involve inherent uncertainties, including the possibility that offset projects may not achieve their intended environmental benefits or may be subsequently reversed, invalidated, or decertified. Your contribution supports ACS’s effort to offset the event’s estimated carbon footprint, but ACS does not guarantee any specific environmental outcome. ACS is not responsible for the performance of any offset project or for any loss of anticipated environmental benefit.

Q. By contributing to the carbon offset program, you acknowledge that you have read, understood, and agree to be bound by these terms.


j. Housing Cancellations

Canceling your registration will not automatically cancel your housing reservation. To cancel your hotel room(s), please contact acshousing@spargoinc.com. ACS will not reimburse cancellation or no-show fees charged by the hotel.

 

k. Emerging Economies Discount Pricing

  • Members residing in countries with emerging economies as defined by the World Bank are eligible to receive special Meeting registration discounts for both the ACS Fall Meeting and Digital Meeting. Discounts are not available for workshops or other special tickets. Discounts are not available for Expo Only tickets.
    • Category I – 75% discount on registration. 
    • Category II - 66% discount on registration.  
    • Category III - 50% discount on registration.  
  • Please note: Registration discount categories follow the ACS Emerging Economies Special Pricing for membership dues.
  • This discount is automatically applied to your cart at checkout per your country designation. You must be an ACS Premium or Standard member to receive this discount. Registrants from countries defined as “Upper-Income” are not eligible for any special discounts.

m. Registration Tickets, Upgrades or Category Changes

15. Registration Categories

a. Full Access Registration Category

Full Access (in-person and Digital Meeting Access) includes access to industry, student, and academic focused sessions, and networking opportunities such as the ACS Connect Reception; the Open Board Session and Priestly Medalist Address; and the Kavli Lecture series. Full Access grants access to all technical sessions, presidential events, poster presentations, full access to the mobile app and the Digital Meeting including virtual Q&A sessions, as well as access to the Expo and the ACS Career Fair.

  • Includes option to register and purchase additional ACS Connect Reception access tickets (max of 2), extra drink tickets for ACS Connect Reception and SciMix (max of 2 each for those that are 21 years or over), $50 Food Vouchers at the convention center, Atom Cafe Upgrade, Leadership Development Courses, Career Pathways Workshops, ACS Institute Technical Courses, and all Special Events. b. Limited Access (in-person) Registration Categories

  • Ticketed Events Only includes access to Leadership Development Courses, Career Pathways Workshops, ACS Institute Technical Courses, and all Special Events, purchased individually. – No access to the ACS Connect Reception, sessions, Poster Hall, or Expo. Registrants with a Ticketed Events Only badge will not have access to the mobile app or access to the Digital Meeting. Ticketed Events Only registrants will not receive a badge.
  • Exhibitor Access includes Exhibitor Full Conference or Exhibitor Booth Staff Only badges. Exhibitor access is for exhibitor staff requiring access to the Expo Hall for setup outside of general admission hours.
    • Exhibitor Booth Staff Only badges permit access to the Expo Hall only – no sessions, Poster Hall, or ACS Connect Reception.
    • Exhibitor Full Conference badges have access to the full conference, the sessions, Poster Hall and ACS Connect Reception.
  • Guest Access – Registered guests can attend sessions, Poster Hall, Expo and ACS Connect Reception when accompanied by a Full Access attendee. Guests will not have access to the mobile app or access to the Digital Meeting.
  • Expo Only Full Access includes entrance into the Expo during expo hours only on all 3 days. – No access to the ACS Connect Reception, sessions, or Poster Hall. Registrants with an Expo Only Full Access badge will not have access to the mobile app or access to the Digital Meeting.
  • Expo Only One Day includes entrance into the Expo during expo hours only on one day. – No access to the ACS Connect Reception, sessions, or Poster Hall. Registrants with an Expo Only One Day badge will not have access to the mobile app or access to the Digital Meeting.

 

16. Child Policy

a. Attendees are solely responsible for the care and management of their children at all ACS event venues. Parents or guardians must ensure their children are supervised at all times and that their attendance does not disrupt the Event or interrupt the experience for other Meeting attendees. ACS will not be responsible for any injury, illness, death, loss, damage, expense, cost, or other action to any child brought to the Meeting or any related Meeting activities.

b. ACS takes no responsibility for content deemed unsuitable for children which may be displayed during Meeting activities.

c. Children under 16 are not permitted inside the exhibit hall during setup and dismantling. Children under 16 will be allowed inside the exposition during public hours only when accompanied at all times by an adult with an ACS badge.

d. Children 14 and Under
Children ages 14 and under are welcome to attend conference receptions free of charge as a “Child Guest” for Events after the close of the ACS-provided childcare hours. Parents or guardians must ensure their children are supervised at all times and that their attendance does not disrupt the Event or interrupt the experience for other Meeting attendees.

e. Children 15 and Older
Children ages 15 and older who wish to attend a Meeting reception or special event will be required to purchase an add-on ticket at the “Guest” ticket price, if applicable. For events that are free of charge, the child must still register as a “Guest” for capacity purposes but will not receive a badge.

 

17. Alcohol and Other Beverages

Beer, wine, non-alcoholic beer, and soft drinks may be offered during the Meeting. Alcoholic beverages will be distributed per the laws and regulations of the location where the Meeting is being held and may only be allowed in specific areas in the Meeting venues.

18. Smoke-Free Policy

For the health and comfort of all attendees, smoking is not permitted at any Meeting venues. Attendees should adhere to any signage preventing or authorizing smoking in certain locations.

 

19. No Suitcasing Policy

a. To ensure a fair and equitable environment for all exhibitors and attendees, this policy outlines the rules and procedures regarding suitcasing at the Meeting.

b. Suitcasing refers to the practice of non-exhibiting companies or individuals attending a conference with the intent to solicit business in the exhibit hall, lobbies, or other public spaces, without officially participating as exhibitors.

c. Registration Requirement: All companies and individuals who wish to solicit business at the Meeting must register as exhibitors. Non-exhibiting companies are prohibited from soliciting business in any form.

d. Identification: Exhibitors must wear their official Meeting badges at all times. Badges must be clearly visible and worn in the designated manner.

e. Prohibited Activities:

  • Distributing promotional materials, brochures, or business cards outside of the exhibitor's assigned booth space.
  • Conducting business meetings or sales pitches in public areas such as lobbies, hallways, or food and beverage areas.
  • Hosting unofficial events or gatherings that coincide with official Meeting activities.

f. Reporting Violations: Attendees and exhibitors are encouraged to report any suspected suitcasing activities to event staff. Reports can be made anonymously if desired.

g. Enforcement:

  • Event staff will investigate all reported violations.
  • Individuals or companies found to be engaging in suitcasing will be asked to cease their activities immediately.
  • Repeat offenders may be subject to removal from the Meeting without a refund and may be banned from future events.

h. Communication: This policy will be communicated to all registered exhibitors and attendees prior to the Meeting. It will also be included in the event program and displayed prominently at the event.

 

20. Event Attendance

To help us improve our events and better understand attendee interest and participation, we use a system that anonymously tracks attendance by detecting Bluetooth signals that smartphones automatically emit. These signals use random, frequently changing codes that cannot be linked to any individual, making it impossible to trace back to a person or device. The system does not collect or store any personal information. The data is fully anonymous and only used to calculate how many people are in a given area. It is never used to identify, track, or profile anyone. This helps us evaluate programming needs and enhance future event experiences.  You may control or limit location data that may be collected through the tracking by changing your preferences in your smartphone’s  location services preferences menu, or through your choices regarding the use of Bluetooth. Note, we may collect anonymous general location data even if you opt out of the collection of precise location data.

 

21. Digital Meetings and Events Etiquette and Guidelines for Q&A, Chat, and General Discussions

a. Do not attack others. The discussions within the Q&A, chat and general discussions within the platforms are meant to stimulate conversation, not to create contention.

b. Do not post commercial messages. Unless the chat is designated specifically for use by our sponsors, we ask that you contact individuals directly with product and service information if you believe it would help them. The session chat and Q&A should not be used to post commercial messages.

c. Products and services are as follows: promotional materials, special offers, job offers, product announcements, or solicitations for services.

d. ACS reserves the right, in its sole discretion, to remove such messages and potentially ban the sources of those solicitations.

e. Use caution when discussing your experiences. Information posted on any platform is available for all to see, and comments are subject to libel, slander, antitrust and other laws.

f. Avoid discussions pertaining to politics, religion, and those including sexual content.

g. All defamatory, abusive, profane, threatening, offensive, or illegal materials are strictly prohibited and will be removed.

h. Do not discuss ACS administrative/moderator actions or personal membership inquiries on online forums.

i. Do not post anything that you would not want the world to see or that you would not anyone to know came from you.

j. Please note carefully all items listed in the ACS terms and conditions, disclaimer and policies, particularly regarding the copyright ownership of information posted to the platform as well as to the chat and Q&A.

k. Do not post any information or other material protected by copyright without the permission of the copyright owner.

l. Job postings are prohibited.

m. Remember that ACS and other attendees/participants have the right to reproduce postings.

n. Some general tips to help you maintain good etiquette when reproducing content.

  • Be courteous. Please ask attendees/participants for permission to republish their words elsewhere (especially if elsewhere would be a publicly viewable setting).
  • When citing virtual meeting and event discussions, please include a link back to the original discussion or to the applicable ACS Meeting website.

o. General Virtual Etiquette

  • Transparency is very important in gaining trust in online relationships. Therefore, be clear about who you are and who you work for when posting on any platform. This means including your real name upon entry to the meeting room, disclosing the identity of your employer and using a profile picture of your likeness.
  • Think about what you want to post and decide which platform is best for your message. ACS offers chat and Q&A within the meeting platforms for specific questions about the topic presented. If you are looking to start a conversation around a broader topic area, please consider utilizing the ACS Connect community.

p. ACS reserves the right, in its sole discretion, to block any attendees/participants who do not abide by these guidelines.

 

22. Weapons

Weapons are not permitted at ACS Meetings, notwithstanding local laws that may permit them, without the express permission of ACS.

 

23. Postponement or Cancellation
ACS reserves the exclusive right to modify, postpone/reschedule or cancel the Meeting for any reason, including but not limited to emergency, pandemic or epidemic, inclement weather, or other "acts of God." If there is an event cancellation, every attempt will be made to reschedule, and ACS has the right to transfer registration fees to the rescheduled event date. ACS will not be responsible for reimbursement of any participant's expenses related to an event's cancellation or postponement. If a canceled event cannot be rescheduled, ACS has the right to determine an equitable basis for the refund of a portion or all of the registration fees after cancellation due to consideration of circumstances and expenditures.


24. Compliance with Law

As a U.S.-based nonprofit organization, you acknowledge that ACS is required to comply with U.S. sanctions laws and regulations administered by the U.S. Treasury Department’s Office of Foreign Assets Control (OFAC). By registering for this event, you certify that (1) you are not designated or otherwise identified on any of the various U.S. government lists of denied/sanctioned parties, including, but not limited to, OFAC’s Specially Designated Nationals and Blocked Persons List, Sectoral Sanctions Identifications List, or Foreign Sanctions Evaders List; the U.S. Department of Commerce’s Denied Persons List, Unverified List, or Entity List; or the U.S. Department of State’s Non-Proliferation Sanctions Determinations lists; (2) you are not employed by or otherwise affiliated with any entity that is identified on any of the various U.S. government lists of denied/sanctioned parties or that is 50% or more directly or indirectly owned, in the aggregate, by one or more individuals or entities identified on any of the various U.S. government lists of denied/sanctioned parties; (3) you are not an official, employee, agent, or contractor of, or directly or indirectly acting or purporting to act for or on behalf of, a government (including any political subdivision, agency, or instrumentality thereof or any person directly or indirectly owned or controlled by any of the foregoing) subject to U.S. sanctions; and (4) your registration for and participation in this event is not otherwise prohibited under applicable U.S. sanctions laws and regulations. ACS reserves the right to cancel the registration and or membership of any attendee upon determining, in ACS’s sole discretion, that doing so may be required to ensure compliance with applicable U.S. sanctions laws and regulations.


25. Intellectual Property and Permissions

a. Speakers or companies that provide artwork, upload, or link any material (including but not limited to images, text, documents, and/or video files) for the Meeting are solely responsible for the content of such material and for gaining required permissions under copyright, trademark, trade secret or other applicable law for the use of such material. By submitting any such material, the submitting speaker or company represents and agrees that it has obtained the necessary permissions referenced above.

b. All intellectual property rights in and to ACS Meetings, the ACS Meetings content, and all materials distributed at or in connection with ACS Meetings are owned by ACS, or the ACS Meeting sponsors or speakers presenting at the Meeting. You may not use or reproduce or allow anyone to use or reproduce any trademarks or other trade names appearing at the ACS Meeting, in any ACS Meeting content or in any materials distributed at or in connection with the ACS Meeting for any reason without the prior written permission of ACS.

c. For the avoidance of doubt, nothing in these terms and conditions shall be deemed to vest in you any legal or beneficial right in or to any trademarks or other intellectual property rights owned or used under license by ACS; nor do these terms and conditions grant to you any right or license to any other intellectual property rights of ACS, all of which shall at all times remain the exclusive property of ACS.


26. Travel and Hotel Reservations

Attendees are responsible for securing their own travel and hotel accommodations and making payment for such arrangements. Cancellation of hotel reservations and/or any travel expenses incurred are the sole responsibility of each individual attendee. Limited event venue/hotel shuttles may be provided (excludes hotels within walking distance). Transportation to/from the airport is not included.

 

27. Errors and Omissions and No Endorsement

ACS makes no representations as to accuracy, completeness, timeliness, suitability, or validity of any information presented by attendees at the Meeting and will not be liable for any errors, omissions, or delays in this information for any losses, injuries, or damages arising from its display or use. Schedules, speakers, and program content are subject to change. The Meeting is provided on an “as-is” basis. The views, opinions, and positions expressed by the attendees at the Meeting are theirs alone and do not necessarily reflect the views, opinions, or positions of ACS or any employee thereof.  ACS does not endorse, and expressly disclaims all liability relating to, any of the products or services provided by attendees.

28. Amendment to Disclaimer and Waiver, Policies, and Terms and Conditions

ACS may, in its sole discretion and without notice, make changes, amendments, or additions to this Disclaimer and Waiver, Policies, and Terms and Conditions, as applicable. Any such changes shall be binding on individuals, including but not limited to attendees, sponsors, and exhibitors.

29. Acceptance and Acknowledgement

By registering for and attending the Meeting, I hereby agree that I have read the above terms and conditions and accept the terms stated herein. I agree to indemnify, defend, and hold harmless the Released Parties from and against any and all claims, damages, obligations, losses, liabilities, fines, penalties, costs or debts and expenses (including reasonable attorneys' fees) resulting from my attendance at, or participation in, the Meeting or Event, including the conduct of any person accompanying me or under my supervision. This obligation survives the conclusion of the Meeting or Event.

Recording Policy

The capturing of images, sounds, or stream, downloading, or rebroadcasting of technical session (oral or poster) speakers or presentations is strictly prohibited within the ACS meeting platform.

Presentations

Technical sessions, either oral or poster

Each presenter of any technical session, oral or poster, states that nothing in their presentation is defamatory, libelous, or otherwise unlawful, violates any right of privacy, or infringes any duty of confidentiality owed to another party or violates any contract, express or implied.  Further, each presenter states as follows:  

  • Their presentation is the original work of the presenter and any contributors who have been involved in such research or preparation have been appropriately identified. 
  • Any third-party quotations or figures have been appropriately noted, and in the case of illustrations in particular, permission for their use has been obtained.     
  • All institutional approvals and protocols have been obtained and followed in conjunction with the research and the preparation of the presentation. Similarly, any related requirements of relevant research funding agencies have been followed.  Any funding agencies providing support for the underlying research have been identified.

Any unusual hazards inherent in the chemicals, equipment or procedures used in the underlying research as described in the presentation are clearly identified.

ACS Volunteer & Participant Code of Conduct Policy

The mission and vision of the American Chemical Society is to advance the broader chemistry enterprise and its practitioners for the benefit of Earth and all its people, as well as to improve all people’s lives through the transforming power of chemistry. As one of the world’s largest scientific organizations, ACS is committed to providing a safe, inclusive, respectful, positive, and welcoming environment for all participants at every event, whether in person or online.

This Volunteer and Participant Code of Conduct Policy outlines ACS’ expectations for all ACS members and participants at in-person and virtual events and activities, including but not limited to seminars, symposia, trainings and courses, mixers, meetings, programs, and gatherings that are organized, hosted, planned, or managed in whole or in part by ACS or its units ("ACS Hosted Events"). Participants, including but not limited to, those engaging with ACS as members, officers, affiliates, associates, volunteers, attendees, exhibitors, partners, speakers, and service providers (hereinafter collectively referred to as "Participants"), are expected to communicate and abide by this policy at all times.

1. Participants should understand and support ACS’ mission and vision.

2. Participants are expected to act in a professional, courteous, cooperative, and respectful manner in order to contribute to a safe, collegial, inclusive, and positive environment for all Participants. Participants shall not engage in any action that could be considered bullying, threatening, or that implies or inflicts physical or emotional harm.

3. Participants shall not discriminate, harass or take any inappropriate actions based on any characteristic protected by applicable law, including but not limited to race, religion, national origin, country of residence, citizenship, language, sex, gender identity and expression, sexual orientation, disability, age, economic status, marital status, or/and physical appearance.

4. Specifically with regard to sexual harassment, Participants shall not engage in any unwelcome sexual conduct, including but not limited to, unwelcome sexual advances, requests for sexual favors, sexual jokes or inferences, stalking, lewd or offensive sexual behavior. Any verbal or physical sexual harassment is unacceptable and will not be tolerated. Personal boundaries set by others must be observed.

5. Participants will comply with all applicable laws and regulations of the relevant government authorities, as well as all rules, safety guidelines, and regulations of the venue for any ACS Hosted Event.

6. Participants shall only use ACS’ trademarks, insignia, name, logos, and other intellectual property in compliance with the ACS Governing Documents and/or Branding Guidelines.

7. Participants granted access to sensitive, confidential, and/or proprietary information of ACS, including but not limited to, trade secrets, financial data, business data, personally identifiable information (PII), governance records, presentations and abstract papers, and any other non-public information, must take reasonable efforts to protect and safeguard such information.

8.  Participants are prohibited from engaging in unauthorized photography or recording, including within the event environment for use on social media, without the prior permission of the event organizer, the individuals to be photographed/recorded, and/or owners of any underlying content.

9.  Participants shall fully disclose all potential and actual conflicts of interest, including but not limited to distinguishing whether they are speaking as an individual, on behalf of a third party, or in an ACS capacity.

10. Participants may be required to consent to a background check in order to participate in ACS Youth Events as may be required under applicable laws and regulations or otherwise deemed appropriate in accordance with the ACS Youth Protection Policy. ACS Youth Events includes but is not limited to any organized event, activity, or program that is hosted or sponsored by an ACS unit in-person or online that involves participation with minors. Additionally, individuals working either directly or in an unsupervised capacity with these certain groups should familiarize themselves and comply with any relevant reporting laws regarding volunteers and background checks.  

11. Participants shall comply with applicable antitrust laws and are prohibited from discussing or making unlawful agreements at ACS Hosted Events. Participants shall refrain from inappropriate discussion of business operations or exchanging competitively sensitive information.

12. Violations of this policy at ACS Hosted Events or in connection with participation in other ACS activities must be reported promptly either to the ACS Office of the General Counsel (“OGC”) at ACSLegal@acs.org or via one of the anonymous methods listed below. Please reference “ACS” or the “American Chemical Society” in the subject line of any written submissions. All reported concerns will be reviewed in a timely manner. 

13. Where appropriate, the OGC will investigate the allegations as reasonably promptly as possible. Upon completion of the investigation, the OGC will, in coordination with the Secretary, inform the appropriate governing body of the results of the investigation so that body can take such actions as they may determine appropriate to ensure any violation of this Policy is not repeated. Information will either be provided to the disciplinary committees of the ACS Board of Directors or in the case of Councilor conduct, to the Council Policy Committee. Potential actions include but are not limited to the following: 

  • A warning to the offender 
  • Removal from the meeting or event without refund 
  • Blocking individuals from online platforms 
  • Reporting the incident to law enforcement or other appropriate government agencies 
  • Exclusion from future ACS meetings, events, and activities 
  • Suspension or expulsion from the Society without refund 

Please note, for privacy reasons, the Participant filing the initial report may not be informed of certain details related to the investigation or the precise nature of the action taken by ACS.

14. Any Participant who, in good faith, reports a violation of this policy shall not be subject to retaliation. Any Participant who retaliates against someone who has reported a concern in good faith is subject to an investigation and disciplinary actions as appropriate, including by the Board of Directors, or in the case of Councilor conduct, by the Council Policy Committee pursuant to Section 13, above.

(1) you are not designated or otherwise identified on any of the various U.S. government lists of denied/sanctioned parties, including, but not limited to, OFAC’s Specially Designated Nationals and Blocked Persons List, Sectoral Sanctions Identifications List, or Foreign Sanctions Evaders List; the U.S. Department of Commerce’s Denied Persons List, Unverified List, or Entity List; or the U.S. Department of State’s Non-Proliferation Sanctions Determinations lists;

(2) you are not employed by or otherwise affiliated with any entity that is identified on any of the various U.S. government lists of denied/sanctioned parties or that is 50% or more directly or indirectly owned, in the aggregate, by one or more individuals or entities identified on any of the various U.S. government lists of denied/sanctioned parties;

(3) any abstracts, manuscripts, research summaries, presentations, or other related work product submitted by you to ACS have not been and will not be supported through research funding or otherwise by any individual or entity subject to U.S. sanctions, including any individual or entity identified on any of the various U.S. government lists of denied/sanctioned parties or any entity that is 50% or more directly or indirectly owned, in the aggregate, by one or more individuals or entities identified on any of the various U.S. government lists of denied/sanctioned parties;

(4) you are not an official, employee, agent, or contractor of, or directly or indirectly acting or purporting to act for or on behalf of, a government (including any political subdivision, agency, or instrumentality thereof or any person directly or indirectly owned or controlled by any of the foregoing) or political party (including any organ or body thereof) subject to U.S. sanctions;

(5) you do not reside or work in North Korea or the so-called Donetsk People’s Republic (DNR) or Luhansk People’s Republic (LNR) regions of Ukraine, and you are not employed by or otherwise affiliated with any entity located in North Korea or the DNR or LNR regions of Ukraine or that is directly or indirectly owned by any individuals or entities located in North Korea or the DNR or LNR regions of Ukraine; and

(6) your participation in an ACS event, submission of written materials to ACS, and any other transactions in which you may engage with ACS are not otherwise prohibited under applicable U.S. sanctions laws and regulations. 

ACS reserves the right to restrict an individual’s participation in ACS events, reject the submission of written materials to ACS, and/or take any other action that ACS determines, in its sole discretion, may be required to ensure compliance with applicable U.S. sanctions laws and regulations.
